Using the Pesticide Exam Application

How to obtain a voucher?

  • Login to the FDACS licensing website at https://aesecomm.fdacs.gov/.
  • There is a link on the left side for new users to setup an account.
  • Click “Apply for Restricted Use Pesticide New License” at the Home page of the Pesticide Certification Examination Licensing website. It will direct you to select the license type and then proceed to the FDACS website to apply for an exam and receive the exam voucher which includes the voucher number.
  • For agricultural (Chapter 487) exams, a maximum of 3 exams may be selected for a single voucher during one exam session. A voucher may be used more than once should a person fail the initial attempt at the exam.
  • For structural (Chapter 482) Limited exams, only one exam may be selected for a single voucher during one exam session. A voucher may ONLY be used once. For the LCLM exam, an applicant does not need to have taken the 6-hour training prior to obtaining the online voucher. If the applicant paid online, yet did not apply online, a hardcopy application must be provided at the time of testing. If the training did not take place on the same day as the exam, then a Record of Attendance for Continuing Education Units form must also accompany the application, insurance, the voucher receipt or check, money order or cashier's check on exam day.
  • Print the confirmation page from the license website.

How to schedule an exam at a local extension office?

  • Enter the UF/IFAS Certification Exam website at https://pesticideexam.ifas.ufl.edu/.
  • Click “Schedule your exams” in the left navigation panel and then “Schedule Examination Self Service” button in the main content area.
  • Enter the voucher number and applicant last name and click “Schedule Exam” button. It will then cross-check the FDACS system and retrieve the applicant’s information.
  • If the information is invalid, an error message will be displayed. If submitted information cannot be validated by FDACS system, FDACS contact information will be included in the error message.
  • If the voucher number is valid and applicant’s last name matches the record in the FDACS system, the applicant’s current exam schedule summary page will be displayed.
  • In the exam schedule summary page, it lists the applicant’s basic personal information, available examinations, and exam schedules.
  • In “Examination Information” section, it lists the exam name, exam date, and exam location if the exam has been scheduled.
  • To schedule the exam, click on “Schedule Examination” and a list of available county testing centers will be displayed. Click on the information icon to view county testing center detail information. Click “View Test Schedule” to continue and to a specific testing center exam schedule.
  • By default, it lists the exam schedule and seat availability for the following 2 weeks. The applicant can schedule an exam 6 weeks in advance by changing the drop-down box to list more exam dates.
  • To schedule a computer-based exam, please choose those schedules with "Computer" exam type.
  • To schedule a paper exam, please choose those schedules with "Paper" exam type.
  • Click the “Register Now” link next to the exam date to schedule an exam for that date. A confirmation email will be sent to the applicant’s email and bcc to the country staff handling the exam. The applicant will be asked to print this page (or email) and bring it along with a driver’s license to the testing center.

How to change or cancel a scheduled exam?

  • Click “Schedule your exams” from in the left navigation panel and then “Schedule Examination Self Service” button in the main content area.
  • Enter the voucher number and the applicant last name and click “Schedule Exam.”
  • In “Examination Information” section, it lists the exam name, exam date, and exam location the exam had been scheduled. The applicant can then change or cancel the exam schedule 24 hours prior to the exam start time.

Does an exam taker have to schedule an exam in order to take the exam?

Exam scheduling is up to the discretion of the local extension office. The pesticide exam application does not require an exam taker to schedule the exam for exam taking; however, the local extension office may require exam scheduling to better manage their customer flow. Please check with your local extension office on their policy.

What is an access code?

The access code is a 6-10 characters code created by the test coordinator/proctor when he/she opens an exam. In order to make the exam available to the exam taker, the exam must be opened and the access code must be assigned by the local proctor. The exam taker then enters this access code when he/she login to take the exam. The access code is like a secret passcode. It is put in place to prevent anyone to gain access to the exam area without being present in the testing center and verified by the proctor.

How to take an exam?

  • Click “Examination Entry Page” from the exam site homepage.
  • Enter the voucher number, last name, access code and select the exam. Click “Login Examination Site” to continue. The voucher number and last name should be the same as the ones used in the voucher.
  • If the information is valid, the exam summary page will be displayed. It will contain applicant personal information and the name of the exam about to start. Click “Start ” button to start the exam.
  • The exam questions will be displayed in the main area. If there are any exam reference materials, they will be listed in the left panel. The timer at the top of the page indicates the remaining time.
  • All questions are multiple choice questions. The exam taker selects an answer and clicks “Next” button in the right bottom corner to advance to the next question. The exam taker must answer the current question before moving on to the next question. If the taker is not sure of the answer, take a guess. The taker can always go back to the question later by making a note of the question.
  • Once the final question is answered, it will prompt the taker to submit the exam for scoring or go back to check any answers again. Once submitted for scoring, the taker will no longer have access to the exam.
  • If the timer expires before all questions are answered, the exam will be interrupted and the exam will be scored automatically at that point.
  • Once scoring is completed, click the “View Exam Report” button to view the score.
  • A same report will be sent to the exam taker’s email address. If the exam taker would like to print a copy on the spot, please email the sample report to the proctor who may have a printer attached to the proctor’s administrative workstation to print out the report.
  • The exam score will be available in the FDACS system after 24 hours (next business day), however the examinee will receive the unofficial exam results via email upon completion of the exam.
  • Click “Exit Exam Site” to exit the exam site.

How to resume an exam?

If an examinee unexpectedly exit an exam due to any reason including accidentally log out exam, exam laptop issues or network interruption, the examinee can log back into the exam and choose to “Resume” the exam as long as it has not reached the exam end time. After resuming the exam, the examinee can continue onto unanswered questions or change answer on the previously responded questions. The examinee may also resume the exam on a different laptop.

How to login to the exam site admin console?

  • Click “Admin Login” link in the right navigation bar.
  • Login with your GatorLink credentials.

How to set up examination block out dates?

Block-out date is the date you want to have the system blocked from scheduling exams. There are two type of block-out dates: annual block fix dates (e.g. New Year’s Day, Jan. 1) and annual flexible dates (e.g. Thanksgiving, Thursday of the fourth week of Nov.).

  • Click “Edit Annual Block Dates” to manage block-out dates. It will display the existing block out dates.
  • To remove an existing block out date, click on the “Delete” button for the schedule.
  • To add a new fixed block out date, click the “Add” button and enter the date and time for the block out date. Assign a nickname such as “Thanksgiving” to the fixed block out date.
  • To add a new flexible block out date, click the “Add” button and enter the schedule detail for the block out date.

How to set up a recurrent examination schedule?

  • Login to the exam site admin console.
  • Click “Manage Pesticide Certification Examination Schedules” from the left menu panel.
  • Click “Edit Default Test Schedule.”
  • Add a new exam schedule under “Add new dates” section.
  • Specify the start date for this recurrent schedule.
  • Click on the Repeat checkbox and specified the end date of this recurrent schedule.
  • Specify the start and end time (2,3, or 4 hours block) of this schedule.
  • Specify the week of the month (every week or the 1st, 2nd, 3rd, or 4th week) and weekday (Monday - Friday) for this schedule.
  • Set the seating capacity of the testing center in Capacity.”
  • Enter any special note for this schedule, ex. "For 482 exam only.”
  • If this schedule block is for paper exams, select "Paper"; Otherwise, select "Computer" for computer-based exams.”
  • Click on the "Add" button to add the new schedule.
  • To delete an existing schedule, click on the “Delete” button for the schedule.

How to setup a specific date in my examination schedule?

  • Login to the exam site admin console.
  • Click “Manage Pesticide Certification Examination Schedules” from the left menu panel.
  • Click “Edit Default Test Schedule.”
  • Add a new exam schedule under “Add new dates” section.
  • Specify the schedule date.
  • Specify the start and end time (2,3, or 4 hours block) of this schedule.
  • Set the seating capacity of the testing center in Capacity.”
  • Enter any special note for this schedule, ex. "For 482 exam only.”
  • If this schedule block is for paper exams, select "Paper"; Otherwise, select "Computer" for computer-based exams.”
  • Click on the "Add" button to add the new schedule.

How to lookup an exam taker/applicant?

  • Login to the exam site admin console.
  • Click “Applicant Lookup” from the left menu panel.
  • Select your testing center.
  • Enter voucher number and last name from the confirmation printout
  • Click “Search.”
  • If voucher number and last name is valid, the personal information and exam schedule will be displayed.

How to grant access to an computer exam, a.k.a., open an exam?

  • Login to the exam site admin console.
  • Lookup the applicant by following the steps for “How to lookup an exam taker/applicant.”
  • Confirm the exam which the exam taker is taking, especially for “walk-ins.”
  • Assign and enter a 6-10 characters access code. Click the green button, “Computer Exam” to activate the exam(s) he/she will take today.
  • Give the access code to the exam taker to enter the access code to begin the exam.
  • Please note that the granted exam access is only valid up to the maximum exam time. If exam takers do not start their exams during that time frame, proctors will have to grant access to the exams again.

How to reset an exam?

  • Have the exam taker log out of the exam and close the browser.
  • Proctor then should login to the exam site admin console.
  • Lookup the applicant by following the steps for “Applicant Lookup.”
  • Under exam schedule section, the exam that is currently in progress has “STARTED” or “COMPLETED” status indicated.
  • If status is “STARTED,” you need to end the examination first. Click the “End examination” button and “OK” to confirm ending the examination. The status should be changed to “COMPLETED.” Then go to the next step.
  • If status is “COMPLETED,” there is black button “Reset examination” next to the status. Click the button and “OK” to confirm resetting the examination. The status should be changed to “OPEN.”
  • Ask the exam taker to open the web browser and take the exam again.

How to perform a walk-in?

  • If the exam taker has not submitted the license application, direct the exam taker to follow the steps in “How to obtain a voucher.” Otherwise, the exam taker must provide their copy of the receipt/voucher number (confirmation document) to the proctor.
  • The exam taker waits for an open “exam” laptop. Once the “exam” laptop is available, the proctor verifies the person identity by checking the ID, confirmation document and applicant record in the exam admin console, then open the exam by following the steps in “How to grant access to an exam, a.k.a., open an exam.”
  • The proctor must keep the person’s ID card and write down the access code on their copy of the confirmation document before beginning any exam.
  • The exam taker will start the exam by following the steps in “How to take an exam.”

How to change the county office listing state?

  • Login to the exam site admin console.
  • Click “Manage Pesticide Certification Examination Schedules” from the left menu panel.
  • Click “Edit County Office Info.”
  • To make the county listed as one of the test centers, select "Listed" in the “Listed in the schedule:” option
  • To make the county NOT listed as a test center, select "Not Listed" in the “Listed in the schedule:” option
  • Click "Save Changes" to update the county office settings

How to extend time to the current exam session?

Exam administrators may only add time to an exam session to compensate for time lost to examinee for special circumstances out of exam taker's control, such as proctor halted the exam due to rule violation, cheating investigation, fire drill, or other such causes. Exam time can only be extended if the exam has not completed or time out.

  • Login to the exam site admin console and perform "Applicant Look up".
  • Under exam schedule section, the exam that is currently in progress has “STARTED” status.
  • Under the Add Time To Exam column, enter time to extend in minutes and click the Extend button.
  • The system will display a warning to warn about the exam policy on time extension. Click OK to extend the exam time.
  • The exam taker would see the exam clock get extended when he/she proceed to the next question in the exam.

How to set the laptop icon for a county office?

  • Login to the exam site admin console.
  • Click “Manage Pesticide Certification Examination Schedules” from the left menu panel.
  • Click “Edit County Office Info.”
  • If the county office offers computer-based exam, select "Yes" in the “Offer Computer-based exams:” option
  • To remove the laptop icon from the county office, select "No" in the “Offer Computer-based exams:” option
  • Click "Save Changes" to update the county office settings

Paper Exam Administration and Reporting (Test Coordinator/Proctor only)

How to register paper exams?

To standardize the registration and reporting process and to reduce data entry, all applicants including those taking paper exams would need to obtain a voucher from FDACS at https://aesecomm.fdacs.gov/ prior to taking an exam.

How to set up scheduling for paper exams?

Exam scheduling remains up to the discretion of each local extension office. The local extension office may create a separate schedule block for paper exams by selecting "Paper" exam type in the schedule block with the desired number of seats that they wish to handle. Please see How to setup a specific date in my examination schedule? and How to set up a recurrent examination schedule?

How to administer paper exams?

Before an applicant can take a paper exam, the exam administrator must use the voucher number to perform the “Applicant Lookup” function on the IFAS Pesticide Exam Application site. If the voucher is valid, the IFAS Pesticide Exam Application will display a “Paper Exam” button for all the registered exams listed in the voucher. The exam administrator can then click on the “Paper Exam” button to open the paper exam. Afterward, the applicant may proceed to take the paper exam under the current exam administration policies.

How to change a computer-based exam to paper-based?

If an exam applicant has a voucher for a computer-based exam but would then like to change to take a paper exam instead, the exam applicant may do so before completing the computer-based exam by the following steps:

  • The exam proctor logs in to the exam site admin console.
  • Reset the exam by following the steps for “How to reset an exam.”
  • Click the "Paper Exam" button to change the exam to paper-based.
  • The exam proctor administers the paper exam to the exam applicant.

How to change a paper-based exam to computer-based?

If an exam applicant has a voucher for a paper-based exam but would then like to change to take a computer-based exam instead, the exam applicant may do so before completing the paper-based exam by the following steps:

  • The exam proctor logs into the exam site admin console and follow the steps for "Applicant Lookup."
  • Reset the exam by clicking the "Reset" button on the exam.
  • Follow the steps for "How to open an exam?"
  • The exam applicant then proceeds to take the computer-based exam by following the steps in "How to take an exam?"

How to generate reports for paper-based exams administered in my county?

Exam administrators can use the Exam Registration Report function on the IFAS Pesticide Exam Application site to search and generate exam reports for both computer-based and paper exams.

  • The exam proctor logs into the exam site admin console and click on Pesticide Certification Examiniation Registration Report."
  • Enter your county, date range and exam status to search.
  • In the Search Result, paper-based exams are noted with "Y" on the Paper Exam column.

What do I need to mail for the Limited Exams if it was taken on the computer?

The test taker MUST bring a printed receipt and voucher number to the exam. You can make a copy of the receipt/voucher for your records. A voucher number for limited exams can only be used ONE time. Nothing is required to be mailed in. The applicant will not have obtained a receipt with voucher number unless they supplied their training certificate to the Department at time of application (paper or electronic). Using the computerized exam system will automatically transmit the resulting score to the Department. Please inform the applicant that their credential will NOT be issued until a certificate of insurance has been submitted (and let the applicant handle). Each person applying for the LCLM certification must furnish proof of having a certificate of insurance which states that the employer meets the requirements for minimum financial responsibility for bodily injury and property damage.

What do I need to mail for the restricted use exams if taken on the computer?

You do not need to mail anything.

How many times can a participant take an exam?

If it is a Limited exam or a Pest Control Operator’s exam, they can take it once. If they fail a Limited exam, they are required to pay again. An applicant can go online with a credit card and re-apply for another voucher number. If you are assisting the candidate, make sure you print a receipt or email a screen shot to yourself so you can print a copy.

If they are taking restricted use exams, they may have only one attempt per 24 hours. They will need to reschedule the exam for a later date. Exam administrators will receive FDACS funding for only one exam if the exam is proctored more than once in the same day.

What do I need to mail for a paper exam that has a voucher?

You only need to mail the bubble sheet, no NER is needed. However you must ensure the test taker’s name, exam date, booklet number and voucher number (written with a V prefix, Ex: “V12345”) are written on the bubble sheet. DO NOT FORGET TO OPEN THE PAPER EXAM ON THE WEBSITE THE SAME DAY THAT THE TEST IS PROCTORED.

Instructions to Enter Checks as Payment for the Limited Certification Exams

Everyone in the state, regardless of what test they are taking should be getting a voucher number, to do this, they need to visit https://aesecomm.fdacs.gov.

  • The participant can register for a pin from FDACS or you can open the system using your credentials.
  • For Limited Licenses, they should click on Structural/Residential Pest Control – Chapter 482.
  • Click on “Exam Sign-up”
  • Choose which limited exam they need. (LCLM is listed as “Commercial Landscape Maintenance Personnel”)
  • Have them answer the question if they have applied before.
  • Have them fill out the form. Remember to erase your email address if you logged into the system for them. This form takes the place of the application.
  • Uploading Training/Insurance Certificate: Click the appropriate box. They can log back in to upload their CEU form and Proof of Insurance to expedite the process.
  • Check the boxes if appropriate and submit the application.
  • They will then be prompted to pay and may choose the payment method.
  • Follow the prompts to enter the information either from the checks or the credit card.
  • They will then receive confirmation of payment in the form of a receipt that includes their voucher number. They should print and bring this piece of paper with them to the test. This proves that they already paid.
  • Keep in mind, if they do not bring their voucher with them or schedule online then you cannot look up their voucher for them.
  • If they use a check, that check becomes no good at that point and needs to be voided and should not be used again.

What do you mail?

This process takes the place of the application and payment. The only thing people may bring in are their proof of insurance (LCLM and wildlife) and CEU forms (LCLM only). Limited structural and limited lawn and ornamental do not have CEU requirements.

You can either mail these documents for applicants or have them upload them to the FDACS website at https://aesecomm.fdacs.gov. If you mail the documents it is easiest to include a copy of their receipt as proof

Troubleshooting

I try to take an exam but receive a message “The examination is not open to you. Please contact the examination proctor now.”

The exam needs to be opened by the proctor prior to the exam taker taking the exam. Please ask the proctor to open the exam by following the steps in “How to grant access to an exam, a.k.a., open an exam.”

I try to take an exam but receive a message “Invalid access code. Please contact exam proctor to confirm the access code is correct.”

If the exam has already been opened, please check with the exam proctor and ensure the correct access code is entered. If the exam has not been opened, the proctor will have to open the exam by following the steps in “How to grant access to an exam, a.k.a., open an exam.”

I see an available schedule in the UF/IFAS Extension Testing Centers and Schedules page for my county but when I try to schedule an exam for that county, no schedule is displayed.

By default, the Pesticide Exam lists exam schedule and seat availability for the next 2 weeks in the “View Test Schedule” page for the county. Change the drop-down box on the “View Test Schedule” page to display the available exam schedule for the next 2, 4, 6, 8 weeks. An applicant can schedule an exam up to 8 weeks in advance.

System failures during an exam.

If the system encounters failure during an exam such as the black screen of death, please restart the laptop and repeat the process again. If you still encounter problems, please contact IFAS IT help desk at helpdesk@ifas.ufl.edu or (352) 392-INFO.

Exam laptop freeze during an exam.

If a user encounters unrecoverable laptop problems such as a mouse/keyboard freeze, while taking an exam, please shutdown and restart the exam laptop by pressing on the power button. The exam laptop shall reboot back to where the exam was if the virtual desktop connection has not timed out or disconnected. If rebooting the laptop does not clear up the freeze, please try:
1) Terminate the exam session by closing out the browser by clicking on the ‘X’ button on the upper-right corner of the Internet Explorer. A new browser window with Pesticide Exam shall automatically show up after a few seconds. As long as there is still time left for the exam, examinees would be able to log back to the exam and click on “Resume …. Exam” with the remaining time left, allowing them to pick up where they left, see How to resume an exam?. Examinees can also resume the exam on a different laptop.
2) Terminate the virtual desktop connection by logging completely out of the VM. On top of the exam laptops, there is a small menu bar. Click on “Connection->Disconnect and Log off” and then log back into the VM. This will require you to start a new exam session as well and examinees can resume back into the exam.

The system displays ‘No active registration’ message while validating the voucher in exam scheduling or applicant look up.

While scheduling an exam or performing an applicant lookup, if the system displays ‘No active registration found’ with the given voucher number and last name, you will need to contact FDACS. If you believe the voucher number and the applicant’s last name are correct, please contact the appropriate FDACS program area listed below:

The system displays 'Couldn’t resolve hostname' after logging into the laptop.

This usually occurs when your WIFI or router is not working. Please contact your district IT specialist for support.
